Meeting
December 2008
Present: Cindy Armour, Tammy Kirages, Bob Percy, Bryan Klepinger, Vicki Shafer, Joe Loomis, James Murphy,
Review of Minutes from November Meeting
· Amended and approved.
Financial
· Savings account balance as of 12/08 is $ 16,267.80
· Checking account balance as of 12/08 is $12,822.27
· CD account balance as of 12/08 is $ 22,857.77
· CD account balance as of 12/08 is $10,338.59
· Annual Dues increase starts April.
· Budget 2009; adjustments made.

ARC
- Mailbox update. Three have been ordered; Pelican Place – have been contacted once. Cindy will follow-up.
- ARC process. Two additional members for ARC committee (Pete Black and Kevin Kultgen) have joined Joe.
Common Area
· Christmas Decorations are up.
· Landscape Projects around HOA
o Pines behind Canary Court
o Cindy will call homeowners to inform them of removal and addition of 2 trees.
o Cindy will ask Indiana Tree Service, Inc. to grind two additional stumps

· Snow Removal contract with A and R
· Landscape contract with First Class of $25,018.00
Pond
· Pond Contracts with ASAP
· First Class will provide bid for rock on Culver. $250 for each culvert. Approved.
Pool/Tennis
- Pool contract renew price is $ 14,558.00. Pool company is at a convention; Cindy is unable to contact them but will follow-up. Looking for a maximum expenditure of $18,000.00

Misc.
· Armour Property Management fee
Cindy will outline her responsibilities and email to board.
Board discussed raise of fees.

· Social Committee Update
Not present.
· Pool house and landscaping
Landscaping is overgrown. Paint is dingy and the roof may need repair.
Proposals: Spruce up the areas. Add more shelving in the pool storage area.
Re-key pool. Find out who owns the wooded area next to the pool – check the plot line. (Cindy will follow-up about the wooded property.)
· Best Christmas Decoration Award
Discussion about awarding the most “green” decorations. Most creative without using more electricity. (Promote it for next year)
$50.00 gift certificate to Mudsocks for the winner
· Capital Improvement Committee
James will ask the people who ran for the Board this year to be on the committee.
Bob will send an email to see if others would be interested in joining.
Committee will consist of 5 members with no term of service. The Treasurer will guide it.
· Vendors – Sponsored Website & Companies doing business with Avian Glen
Vendors have not been contacted companies. She will contact current companies with signed contracts and offer a free posting for 2009.
· Sidewalk repairs: Cindy will contact city to see who is responsible to notify owners for need of repairs and what constitutes the need for repair.
